Getting ready for D-Day

In this guide, we've put together everything you need to organize your cashless event. He will support you at each stage of the organization, in order to limit unforeseen events and oversights.

Before your event:

Once your cashless terminals and your NFC devices have been ordered, all you have to do is configure your cashless:


  • Set up your items

In the menu”Set up” present in your interface, configure your items intended for sale. Articles are the products that you will offer to your participants throughout your event.


  • Set up your activities

Activities are where your items are going to be found. For example, you create an article”Mineral water” that you are going to put into the activity”Boisson”.


  • Set up your points of sale, recharging and/or reimbursement

They correspond to the physical place where you will sell your items (bar, restaurant, shop, stand) or they will allow your participants to pick up their NFC support, recharge them and get the remaining balance reimbursed at the end of your event.


  • Define user fees (activation and/or reimbursement)

If you wish, you can adopt activation fees charged to the first recharge of your participants and/or to reimburse the remaining balance. We recommend applying fees between €0.50 and €1.


  • Set up a cashless module on your website

To do this, simply click on the menu”Set up” then”General” and copy and paste the code into the source code of your website. So that your participants can understand this new device, we offer explanatory visuals to be inserted directly on your website or to share on your social networks.


  • Build your team and define terminal accesses

When your cashless terminals are configured, assemble your team to define the accesses for the various points of sale, reimbursement or recharging.

For a better handling of cashless terminals, we provide instruction sheets for your staff. All you have to do is print them out and distribute them to your team the day before your event.


  • Set up your account and fill in your bank details

Click on the menu”Account” then”My information” and enter all of your personal details. Do not forget to fill in your bank details so that we can send you your payments.


  • Print the instruction sheets for your staff

For a better handling of cashless terminals, we provide instruction sheets for your staff. All you have to do is print them out and distribute them to your team the day before your event.


D-day:

It's the big day! Your team should connect with the NFC support they've been assigned. Afterwards, all you have to do is supervise the smooth running of the event and regularly check the stock status of your products.


After your event:


  • Analyzing your data

View a sales report that shows the purchasing behaviors of cashless users per hour as well as the average reload, refund, and payment carts.


  • Exporting your data

Wilout generates all the accounting documents you need. Download them in XLS or PDF format via your organizer interface.


Finally, do not forget to return the mobile terminals to us by attaching to the case the return form that we will have previously sent you. All you have to do is drop it off at a partner relay point.
